Microsoft is very successful in linking all applications from the Microsoft universe with each other. With teams, Microsoft has set itself the ambitious goal of making the platform the central place for collaboration. As most of you may already know, Microsoft Teams will completely replace Skype 4 Business in the near future. That's why Microsoft is gradually releasing features to drive the integration of Dynamics 365 and Microsoft teams forward.
One of these features is to pin individual Dynamics 365 records to teams channels. Users who have a Dynamics 365 license can edit the records directly in teams. But even team users who do not have a Dynamics 365 license are able to view the records. In the following blog article, we would like to explain how to unlock the feature and use it correctly.
To enable the integration within teams it is necessary to install the Dynamics 365 Teams App. To access the Microsoft Teams App Store, click on "Apps" in the lower left corner.
Search for the app and install it. There is currently only a preview version available for our organization. For the North American market, the final version has already been released.
The functions can be enabled for a personal or team channel. Dynamics 365 records can only be attached to channels where the user is also the owner of the channel. If you first decide to use only the personal features, the other feature can be activated later. You must also specify for which team the function should be available.
A Team Channel is then selected.
Select a CRM organization and specify which application should be available. Only applications or Dynamics 365 modules that use the Unified Interface are available.
Select the record to be pinned to the previously specified Team Channel. In the final version, it is also possible to pin views. In the preview version, this function is not available yet.
The setup in teams is now complete. The record is now pinned to the previously specified team or channel.
To access the personal dashboard, you must click on the three dots below the teams areas. Here you can open all applications that you have linked to teams.
Click on "My Dashbaord". The previously selected application is now available here. Unfortunately, a large part of the navigation is missing, which makes the use of the application immensely more difficult. Hopefully, in the future, at least a quick change between the most important entities will be possible.
When you go to Settings, you can edit the organization and the displayed app.
Under Settings --> Administration --> System Settings --> General you can also unlock the integration within Dynamics 365. Unfortunately, this is not yet available in the preview version.
In the final version, it will be possible to upload files on one platform and make them directly available for both applications.
In teams, the files can be uploaded under "Files".
In Dynamics 365, document management must be enabled for the entity. The associated view must be opened on the data record and then files can be uploaded.
Within teams, the record can be opened with a normal browser. This is helpful if you have to navigate within the application. As already mentioned, much of the navigation is missing and it is not so easy to move from one entity to the next.
A discussion about the data record can be started. This discussion is also visible within the data record in Dynamics 365.
The remaining buttons can be used to enlarge the Dynamics 365 section and reload the window.
To demonstrate once again how beautifully the Microsoft applications are linked with each other, a small flow as an example. This flow is supposed to send a message to the Team Channel in case of a rating case at a sales opportunity on "Cold", with the request to contact the decision maker.
Dynamics 365 integration is very helpful when it comes to providing a quick overview of individual data records or individual areas (dashboards or views). The big plus is without question that users can view the data set without a Dynamics 365 license. However, it is not possible to navigate easily through the entire Dynamics 365 system within teams. To do this, Dynamics 365 must be opened in a browser. Despite these weaknesses, the integration works very well and drives the integration of Microsoft applications forward.
